Quick answer

Verify a Chinese supplier before an order by checking business registration, comparing the company name against the actual factory, reviewing order documents, and using an independent site visit when the order value or risk justifies it. Start with low-risk checks such as contact verification, sample testing, and document review. Move to a paid factory audit only for larger orders, custom products, or long-term suppliers.

Start with the trading company question

Some Chinese suppliers are manufacturers. Others are trading companies that buy from factories and resell to international buyers. A trading company is not automatically a problem. The risk comes from unclear disclosure, because you may not know who actually makes the product or where it is made.

Ask directly: do you own the factory, and where is the production line? Then verify that answer with the business registration, the factory address, and the product category on the sales materials.

Low-cost verification checks

  • Confirm the official company name in Chinese and English
  • Compare the business license company name with the bank account name
  • Check that the supplier email domain matches the official company domain
  • Ask for product samples from the actual production line
  • Request photos or video of the finished product with your packaging or label
  • Check whether the company website, social accounts, and trade platform details are consistent
  • Search the registered address and factory name for independent evidence

Verify documents, not just claims

Certificates are useful only when the issuing body and scope match the product. Ask for the certificate number, the legal entity covered, the product scope, and the issue or expiry dates. Check the document on the official issuing body website where possible.

For export documents, confirm the export license, product compliance documents, and the registered business scope. Do not accept a screenshot or an unclear photo as the final evidence.

Use a sample order to test the process

A small sample order reveals communication quality, lead time accuracy, packaging, payment handling, and how the supplier responds to a problem. It also gives you reference goods for later production comparison.

Do not use the sample to prove factory capacity. Capacity, process control, and production consistency need a site visit or a structured factory audit.

Decide when a site check is needed

Choose a site visit when the supplier will make a high-value order, the product is custom, the buyer needs capacity evidence, or the supplier history is short. A visit can confirm whether the factory exists, which lines make your product, and whether the working environment matches the supplier story.

A formal factory audit adds structure: business status, production capability, quality management, process control, worker safety, and document consistency. The audit is not a certification. It is a snapshot of the factory at the time of inspection.

Agree follow-up before the first order

Put the verified supplier details into the purchase order. Include the legal entity, factory address, contact person, product specification, sample reference, inspection point, packaging, delivery date, and payment terms.

Do not place a large order on the strength of a website or a platform profile alone. A supplier verification plan is cheaper than correcting a production or payment problem later.

Next step: set the verification level before ordering

Share the product, order value, supplier information and main risk. We can separate registration checks, document review, sample follow-up and a site visit so the verification matches the decision.
